Soljio is software swim schools use to run their programs, schedules, rosters, report cards, and family booking. This page explains what information Soljio handles, why, and who helps us process it.

Information schools keep in Soljio

Each school's workspace holds the programs, schedules, staff, and the families and swimmers who enroll: names, contact details, dates of birth, notes, attendance, skill progress, signed waivers, invoices, and messages. The school decides what it collects and how it uses it. Soljio stores and processes that information on the school's behalf, only to run the school's workspace.

If you are a parent or guardian, ask your school about your family's information first. We help schools answer access, correction, and deletion requests.

Information we collect ourselves

  • Accounts. Your name, email address, and sign-in details, so you can sign in and act for your school or household.
  • Contact requests. When you write to us through this site or by email, we keep your name, email address, school, and message so we can reply.
  • Product use. Pages viewed, features used, device and browser details, and error reports, so we can find problems and improve Soljio. We do not sell this information or use it for advertising.

Payments

Card payments run through Stripe. Card numbers go directly to Stripe and never reach Soljio. We keep a record of each payment, refund, and invoice so the school and the family can see it.

Who processes information for us

  • Convex stores application data and runs Soljio's backend.
  • Vercel hosts this site and the application.
  • Stripe processes card payments and school payouts.
  • Resend delivers email.
  • Telnyx delivers text messages for schools that turn texting on.
  • PostHog records product analytics and session replays.
  • Sentry records application errors.
  • Howie schedules calls booked from this site.
  • An AI model provider drafts text in AI-assisted setup steps, using only the details needed for that draft.

These providers process information only to provide their service to Soljio.

Keeping and deleting information

We keep a school's information while its workspace is active. When a school leaves Soljio, its workspace and the information in it are deleted. Payment and audit records are kept as long as the law requires.
